How can I view historical figures of repeating invoice totals?

If you want to review your historical data for repeating invoices, we don’t yet have a way to view it in the interface, BUT there is a quick way you can view this by exporting the data into Excel and using our pivot table template to see all the history, per month.

We have outlined the steps below and have a tutorial video.

The first time you do this it will take about 5 mins to setup and see the figures.  Each future time, when you want to update the figures, it will take only about 1 minute.

The steps shown in this video:

First time setup (approx 5 mins): 

1. Export the line items data from the BeanBox Data Export page
   (There are a number of exports. Scroll down until you see “Export Invoice Line Items“)
2. Download the pivot table template from the bottom of the Data Export page
3. Copy the data from the export and paste into the pivot table template
4. Refresh the first pivot table.
5. If your currency is not GBP you will need to drag the correct “amount” field onto each pivot table.
6. Save your template

Future times, once setup (approx 1 min): 

1. Export the line items data from the BeanBox Data Export page
2. Copy the data from the export and paste into your pivot table template
3. Refresh one of the pivot tables. Now all pivot tables will be updated.
